An HR team of 80 distributed across four continents was suffering from fragmented knowledge and the lack of communications governance. Through the design and delivery of a SharePoint solution and change management measures, I moved knowledge sharing to one common hub and drove better team alignment.
The expansion of the Flix HR team without a system of knowledge governance had led to information sprawl. Team members saved files across three platforms, which meant that collaboration entailed combing through emails to search for documents that were saved on someone’s desktop. The friction was visible in the team health survey, where ‘Alignment’ was low. Prior attempts to solve the problem had failed, leading to frustration within team leadership.
To address the fragmented knowledge and inconsistent collaboration, I began with a structured discovery phase to understand how the team was actually working. Through a team-wide survey and leadership interviews, I identified recurring pain points around file visibility, onboarding friction, and unclear ownership of shared resources.
With these insights, I aligned early with Corporate IT to ensure any proposed solution would integrate with the company’s broader technology strategy. Based on both technical feasibility and team needs, I designed a centralized SharePoint hub focused on intuitive navigation, clear governance, and scalable information architecture.
Before launch, I incorporated team feedback into the design to increase relevance and build early buy-in. Adoption was supported through targeted training sessions and hands-on guidance, particularly around privacy settings and sensitive information management.
To reinforce behavior change, I migrated high-visibility materials - including All Hands content and communications planning - into the hub, creating natural touchpoints that encouraged daily use. Post-launch, I monitored engagement and maintained ongoing communication with leadership to identify adoption gaps and continuously improve the experience.
Team members visited the SharePoint hub over 2,000 times within the first months of launch. Files were easier to access, share, and find. A central landing page kept important team information front and center. The centralized communication planning within the HR team drove a better employee experience and laid the foundation for better collaboration with the Corporate Communications team.
